Membership Terms and Conditions

By applying for or renewing membership, members agree to be bound by these Terms and Conditions and the Club Constitution.

 

Membership Eligibility

Membership of Gladstone Tennis Club (the Club) is open to those who complete the membership application process and pay the applicable membership fee. Membership categories and fees are set annually by the Club Committee. Membership is valid only for the stated membership period.

 

Membership Fees

Membership fees must be paid in full before access to courts and membership benefits are granted, unless otherwise approved by the Committee. Fees are non-refundable except where required by law or in exceptional circumstances approved by the Committee.

 

Use of Club Facilities

Members must use Club courts and facilities respectfully, comply with booking rules, and wear appropriate tennis footwear and clothing. Courts may be reserved for competitions, coaching, interclub matches, and official Club events. Courts may be closed for maintenance, weather, or safety reasons.

 

Court lights cannot go on before 6:00am and must be turned off at 11:00pm

 

Members must leave the Clubhouse clean and tidy that includes doing the dishes or placing such into the dishwasher. Members should report any breakages or damages to either the Head Coach or a Committee Member.

 

Guest Policy

Members may invite non-member guests subject to Club rules and any applicable guest fees. Members are responsible for the conduct and safety of their guests while on Club premises. A Member’s guest may use the Club’s courts up to 6 times after which time the guest must become a fully paid member to continue to use the Club’s courts.

 

Code of Conduct

Members are expected to behave respectfully, play fairly, and uphold the spirit of tennis. Abusive, discriminatory, or unsafe behaviour may result in disciplinary action including suspension or termination of membership.

 

Alcohol

Members and guests are not permitted to bring alcohol to the Club. Drinks from the Club’s fridge must be paid for at that time. This rule applies to all Club events and activities, including those involving Junior Members.  

 

Health and Safety

Members participate in tennis and Club activities at their own risk. Members must follow health and safety guidelines and report hazards or incidents to the Committee. The Club is not responsible for personal injury or loss except where required by law.

 

Insurance

The Club holds public liability insurance where required. Members are encouraged to hold their own personal injury or sports insurance.

 

Photography and Communication

By becoming a member, you consent to reasonable use of photographs or videos taken during Club activities for Club communications unless you opt out in writing. Personal information is managed in accordance with the Privacy Act 2020.

 

To protect the privacy and safety of Junior Members, members and guests must not film, photograph, or record juniors at the Club without the prior consent of the junior’s parent or legal guardian and the Club. Any approved photography or video of juniors for Club purposes will only be undertaken by authorised Club representatives.

 

Any concerns about unauthorised photography or filming should be reported to a Committee Member as soon as practicable.

 

Suspension or Termination of Membership

The Club Committee may suspend or terminate membership for serious or repeated breaches of Club rules or misconduct. Where practical, the member will be given an opportunity to be heard before a decision is made.

 

Resignation

Members may resign membership at any time by notifying the Club in writing. Membership fees already paid are not refundable.

 

Voting

All Members 18 years and older can vote at the Club’s AGM (or special AGM).

 

Junior Members

A Junior Member is any member under the age of 18. Applications must be completed or approved by a parent or legal guardian. Junior Members are not permitted on the 2nd floor of the Clubhouse unless they are supervised by their parent/guardian. Parents or guardians are responsible for the behaviour and supervision of junior members while on Club premises. Junior members must follow Club rules and instructions from coaches and officials. 

 

The Club may restrict court access, times of play, or activities for junior members where appropriate for safety or supervision. Junior membership may be suspended or cancelled for serious or repeated breaches of Club rules or the Code of Conduct.

 

Parking

Members are permitted free parking in the area alongside court 5 – off Gladstone Road. Members must not park in the paring area adjacent to the Club – off Balfour Road. This area is solely for the use of the pre-School. The pre-School will contact towing companies with little notice if Members park in this area. 

 

The Club accepts no responsibility for towing or parking infringements incurred as a result of non‑compliance.

 

Governing Documents

These Terms and Conditions operate alongside the Club Constitution and policies. In the event of any conflict, the Club Constitution takes precedence.

 

Changes to Terms and Conditions

These Terms and Conditions may be amended from time to time. Members will be notified of significant changes, and continued membership constitutes acceptance of the updated terms.
